Bookkeeping for Dallas small businesses: When DIY stops working

When someone searches bookkeeping Dallas, they are usually past the "which app should I buy" stage. They already bought the app. They categorized for a year or two. Then the business in Uptown, Downtown, Deep Ellum, Highland Park, Preston Hollow, or Bishop Arts got bigger than the Sunday-night habit that used to keep the file current.

This is that explainer. Not a frequency guide. Not a DIY cost calculator. Not a QuickBooks vs Xero bake-off. The question is when the owner-as-bookkeeper model stops working, and what you are actually hiring when you hand the file to a CPA. If you already know you want the work done, start on bookkeeping or book a discovery call.

The file still opens. The job outgrew you.

Most Dallas owners I meet did the responsible thing on day one. They opened a business checking account. They subscribed to QuickBooks Online. They connected the bank feed. For a while that is enough: one entity, one income stream, a few dozen transactions, and an owner who still remembers what last Tuesday's $847 charge was.

Then the business changes and the file does not.

A contractor becomes an employee. An S-Corp election puts a reasonable salary next to owner draws that used to be the only way money left the account. A second property, a second sales channel, or a second location shows up. Stripe, Square, Shopify, or a practice-management deposit lands as one lump and nobody has split it into fees, refunds, and actual sales. Personal charges start living on the business card because "I'll recode it later." Later becomes March.

The software is not the failure. DIY as an operating model is the failure. QuickBooks will store whatever you feed it. It will not tell you that "Ask My Accountant" has become a dumping ground, or that the P&L you glanced at includes a transfer you booked as revenue. Hiring bookkeeping in Dallas is hiring someone whose job is to make the file true every month — not someone who sells you a different login.

What "outgrew DIY" looks like in Dallas

Dallas is not one bookkeeping problem. The neighborhoods I list on the Dallas CPA page are Uptown, Downtown, Deep Ellum, Highland Park, Preston Hollow, and Bishop Arts. The industries I actually serve there are real estate investors, doctors and dentists, law firms, consultants, e-commerce sellers, and startups. That mix changes when DIY breaks.

An Uptown or Downtown consultant usually breaks first on payroll and entity. The year you elect S-Corp, owner draws and W-2 wages have to live in the same books. If you cannot separate salary from distribution, the K-1 is a guess and payroll has nothing clean to post into. That is an S-Corp problem sitting on a bookkeeping problem.

A Deep Ellum or Bishop Arts operator — studio, shop, or brand — usually breaks on cash, sales tax, and the first hire. Card deposits and owner withdrawals stop matching the register. Inventory, if you have it, is a number you invent in April.

A Highland Park or Preston Hollow investor usually breaks on property-level books. One QBO file with every address dumped into "Rental Income" and "Repairs" is not a portfolio. You cannot plan depreciation, a 1031, or a refinance on a blended P&L.

A medical or dental practice usually breaks on insurance deposits, provider draws, and payroll for the front desk. The practice-management report and the bank feed are two different stories.

An e-commerce seller or startup usually breaks on platform settlements. Amazon, Shopify, or a payment processor drops a net deposit. Fees, ads, refunds, and cost of goods never get their own lines. You think you know margin. You do not.

You do not need all five. One is enough to have the conversation.

What the IRS actually requires — and what QBO does not do for you

IRS Publication 583, Starting a Business and Keeping Records (Rev. December 2024) is the document I send people who say "I have QuickBooks, so I'm fine." Pub 583 is blunt about the gap.

Your books have to show gross income, deductions, and credits. A bank feed is not that. A bank feed is a list of cash movements. Until someone categorizes them against a chart of accounts that matches how you earn money — and keeps the supporting documents — you have a check register, not books.

You have to keep supporting documents: sales slips, invoices, receipts, deposit slips, canceled checks, and the electronic equivalents. Pub 583 says those documents support the entries in your books and on your return. Proof you paid an amount is not, by itself, proof you get the deduction. The invoice still has to exist.

You have to reconcile the checking account. Pub 583 says you should reconcile each month so the statement, the checkbook, and the books agree. That is the sentence most DIY files fail. If QuickBooks and the bank do not match, every report under that balance is fiction.

You have to keep the records until the period of limitations on that return runs out. Pub 583's Table 3 is the one I actually use: generally three years after you file; six years if you omit more than 25% of the gross income shown on the return; no limit if you never file or you file a fraudulent return. Employment-tax records are different — at least four years after the tax becomes due or is paid, whichever is later.

Electronic records count, but they have to meet the same tests as paper. Pub 583 points to Revenue Procedure 97-22 for electronic storage: index, store, preserve, retrieve, and reproduce the books in a format the IRS can read. A folder of unlabeled phone photos is not that system. If you have more than one business, Pub 583 wants a complete and separate set of records for each. One QBO file with three LLCs commingled is how people file the wrong return for the right year.

None of that is a software feature. It is a job. Bookkeeping is that job.

What I actually do when you hire the books

I do not sell a "fractional CFO" package. I sell CPA-supervised books a Dallas owner can run a business — and a tax year — on.

The engagement on the bookkeeping service page is the one I run:

1. Initial setup or a clean start. I review the file you already have, or I open a new one. Accounts get connected. The chart of accounts gets cut down to how you actually earn and spend.

2. Weekly categorization. Transactions get coded as they land. Questions come through a secure portal instead of a March text thread.

3. Monthly reconciliation. Every business bank and credit-card account is reconciled to the statement. If the numbers do not match, we find out why before the next month piles on.

4. A P&L and a balance sheet you can read. Monthly, with a short note on what moved. Those are the two reports Pub 583 names as the reason you keep books: an income statement for the period, and a balance sheet for the date.

5. A quarterly review. What moved, and what is coming. That conversation is where tax planning starts. Planning on fiction is worse than no planning.

Catch-up is a separate engagement. If last year and the first half of this year are a pile, we quote that pile, then put the monthly cadence on top. Standard bookkeeping is categorization and reconciliation. Full AP/AR is an add-on. I will not invent a bill-pay department this page does not have.

Because the same firm does the books and the return, tax preparation is a filing event, not a forensic project. A seasonal preparer can only file what you hand them. I would rather not be handed a fiction.

Books are the floor under payroll, S-Corp, and tax

Three Dallas conversations go badly when the books are late.

Payroll. The first employee — or the first year you should be on payroll yourself — is the most expensive DIY mistake I unwind. If wages and owner draws are one bucket, payroll cannot land cleanly, and the employment-tax records Pub 583 says to keep for four years do not exist.

S-Corp. A reasonable salary that never hits the books as W-2 wages is how S-Corps get letters. If you are already past the election, that work lives on S-Corp. The books are what make the K-1 a number you can sign.

Tax planning. Estimated payments, retirement funding, and how you take money out all die on December 31. None of those decisions are available if you cannot answer "what did I earn last month?" Tax planning sits on current books. Tax preparation sits on closed ones.

When DIY still works

I am not going to tell every Dallas owner to hand me the login tomorrow. DIY is still honest work when all of these are true:

• One simple entity and one income stream.
• No employees, and no contractors you are unsure how to classify.
• No rentals, no inventory, no multi-state sales.
• The bank and the file match, on purpose, every month.
• You can produce the supporting documents Pub 583 describes without a scavenger hunt.
• You have never received an IRS notice you did not fully resolve.

If that is you, keep the file. Stay current. Revisit the question the year any of those bullets flips. The hire is not "bookkeeping is morally better." The hire is "the business in Dallas outgrew the person who was the bookkeeper."

The bottom line

Bookkeeping Dallas is not a software recommendation. It is the hire you make when a Dallas owner-operator has outgrown the Sunday-night QBO habit: the consultant who added payroll, the investor whose properties share one P&L, the Bishop Arts shop whose deposits no longer match the register, the practice whose insurance deposits and draws do not tell the same story. Pub 583 still wants books that show income, deductions, and credits, documents that support them, and a monthly reconciliation. DIY is fine while you can still produce that. The day you cannot, the file needs a bookkeeper — and the return needs those books.
